CLIENT STORY

Proving AI Feasibility For Global HR At Scale With A Rapid Prototype

Client

A global logistics leader needed to improve access to HR and support services for a workforce of more than 600,000 frontline employees across 220 countries and territories. To find out whether AI could provide a single, intuitive entry point for those employees, the organisation engaged Insight for a Rapid AI discovery and prototyping engagement.

Industry: Logistics and Supply Chain

Challenge

The client struggled to provide consistent, efficient access to group services such as HR, payroll, expenses and operational support for a large global workforce. Many frontline workers lacked a corporate email address, generating around 50,000 access requests per year and consuming approximately 4,000 hours purely on authentication.

Outcomes

Insight AI delivered a Rapid AI engagement to test the feasibility of using AI to address the client’s high-value HR use case. Using a structured framework, the team moved from ideation to a functioning prototype in just 10 days. The prototype, KPIs and discovery frameworks gave the client clear evidence to support its next-step decisions.

Insight AI was selected for its existing relationship with Insight and its consulting capability, which aligned closely with the client’s need for a focused AI discovery and prototyping engagement.

The Rapid AI framework enabled the team to quickly understand the client’s business context, user needs and AI maturity, then co-create tailored solutions rather than relying on off-the-shelf tools. A core, senior team delivered rapid, tangible value and additional capacity to tackle a high-value HR use case affecting thousands of frontline workers. The depth of investigation within such a tight timeframe demonstrated Insight AI’s suitability as a partner for complex, large-scale HR and workforce challenges.

Our solution

The solution was a rapid, agentic workflow prototype showing how an AI chatbot and guided workflows could be embedded into the client’s existing employee app, acting as a bridge to its disparate services.

The engagement focused on understanding the client’s business, users, current AI usage and organisational strategy, then co-creating AI solutions tailored to their needs. A hypothesis was created for every problem statement, and the proposed solutions were challenged to ensure the highest-value outputs.

Key Highlights:

  • Team: A core four-person team of a Senior Consultant, Solution Architect, Designer and Senior Developer
  • Approach: Feasibility testing and user research prioritised over lengthy business case work, with each feature treated as a hypothesis to be validated by the business
  • Technology: Agentic workflow prototype built with tools such as Claude Code, using an AI chat assistant and smart forms within the existing employee app
  • Delivery: High-fidelity functioning prototype in 10 days, using real-world scenarios to illustrate the art of the possible rather than live data or connections to actual tools

Benefits and outcomes

The engagement gave the client the evidence it needed to decide on investment, further discovery and future development.

  • Feasibility proven: The prototype demonstrated that AI is a feasible avenue of investment for the business
  • Clearer strategy: A better understanding of how serving frontline users through a single digital entry point could support the wider strategy and improve employee experience
  • Adoption drivers identified: Meeting users where they are, supporting natural language queries, mobile-first access and smart escalation would drive adoption and success
  • Roadmap for next steps: A framework for product and UX discovery, plus a roadmap to take the prototype from idea to a functioning, value-driving product
  • Fast, in-depth discovery: Feasibility assessments for the use case, delivered within a tight timeframe, which impressed the client
